Form 16 TDS Explained — What It Is, How to Read It & How to Use It for ITR
Form 16 is the most important document for a salaried employee's income tax return. Here's everything you need to know — what it contains, how to verify it against Form 26AS, and how to use it correctly when filing your ITR.
What is Form 16?
Form 16 is a TDS certificate issued by your employer under Section 203 of the Income Tax Act. It certifies that your employer has deducted Tax Deducted at Source (TDS) from your salary and deposited it with the Income Tax Department on your behalf.
Every employer who deducts TDS on salary payments must issue Form 16 to the employee by June 15 of the following financial year (e.g., Form 16 for FY 2024-25 must be issued by June 15, 2025).
Form 16 — Part A vs Part B
Part A — Generated from TRACES
Part A is generated and downloaded by the employer from the TRACES portal (TDS Reconciliation Analysis and Correction Enabling System) and carries the employer's digital signature. It contains:
- Employer's TAN and PAN
- Your (employee's) PAN
- Assessment Year
- TDS deducted and deposited quarter-wise (Q1 to Q4)
- Challan details of each TDS deposit
How to verify: Cross-check the TDS amounts in Part A against your Form 26AS from the income tax portal. Both should show the same quarterly TDS credits.
Part B — Prepared by the Employer
Part B is prepared by the employer and contains the salary computation details. It shows:
- Gross salary paid during the year
- Allowances: HRA, LTA, conveyance, special allowances
- Perquisites (if any)
- Deductions claimed through employer: 80C (investments declared), 80D (medical premium), HRA exemption
- Standard deduction (₹75,000 for FY 2024-25)
- Net taxable salary
- Tax payable and TDS deducted
How to Verify Form 16 Against Form 26AS
Before using Form 16 for ITR filing, always cross-check these key figures:
- Salary income: Gross salary in Form 16 Part B vs salary credit in AIS
- TDS deducted: Quarterly TDS in Form 16 Part A must exactly match Form 26AS entries for your employer's TAN
- Employer's TAN: Verify it's the correct TAN of your actual employer
- Your PAN: Must be correct in Part A — errors cause TDS credit denial
Common Errors in Form 16
- Wrong PAN: Your PAN is incorrect — TDS credit won't appear in your account. Ask HR to correct immediately.
- Missing deductions: You declared 80C investments to HR but they're not in Part B — you can still claim them directly in your ITR.
- Incorrect salary figure: Joining bonus, variable pay, or arrears may be missing. Check against salary slips.
- HRA not claimed: Employer may not have processed HRA exemption if you didn't submit rent receipts. You can claim HRA directly when filing ITR.
What If Your Employer Doesn't Issue Form 16?
Employers with valid TAN are legally required to issue Form 16. If yours hasn't:
- Send a written email to HR/accounts requesting Form 16 — keep a record
- Download Form 26AS from the IT portal — it shows your TDS credit even without Form 16
- Collect salary slips for all 12 months and your bank statement showing salary credits

Claiming Deductions Your Employer Missed in Form 16
Your Form 16 Part B only reflects investments declared to your employer. But you can claim additional deductions directly in your ITR that your employer didn't process:
- HRA exemption — if you didn't submit rent receipts to HR
- Additional 80C — investments made after employer's declaration deadline
- NPS (80CCD(1B)) — ₹50,000 extra deduction
- Home loan interest (Section 24b)
- 80D medical premium
These are commonly missed — and missing them means paying more tax than you owe.
